Recurring maintenance jobs: set them up once, invoice them on time

Recurring work is valuable because it is predictable — until it is not. A quarterly air-conditioning service or monthly test-and-tag visit gets missed when someone forgets to create the job, the wrong technician is rostered, or the invoice goes out late and cash flow wobbles.

Spreadsheets and phone reminders do not scale

Many teams start with a spreadsheet and calendar alerts. That works for a handful of contracts. It falls over when sites multiply, staff change, and customers expect the same visibility for recurring work as for ad-hoc call-outs.

Generate jobs from the schedule, not from memory

Fixxr lets you define recurring maintenance on a schedule so jobs are created automatically and the right technician can be notified. Each visit still flows through your normal queue — assign, complete, capture time and materials, invoice through Xero — but you are not rebuilding the same job from scratch every month.

  • Less risk of missed contract visits
  • Consistent job history per site over time
  • Easier handover when dispatchers or technicians change
  • Clear link between completed maintenance and billing

If maintenance underpins your revenue, treating it with the same discipline as reactive work protects both customer trust and margin.
